These Terms and Conditions apply to all safari, trekking, holiday, day-trip, transfer and travel-related services arranged by EKO Tanzania Adventures.

Please read them carefully before making an enquiry, accepting a quotation, paying a deposit or confirming a booking. By confirming a booking with EKO Tanzania Adventures, you agree to these Terms and Conditions.

1. About EKO Tanzania Adventures

EKO Tanzania Adventures is a Tanzania-based travel company offering tailor-made Tanzania safari tours, Mount Kilimanjaro climbing trips, Mount Meru trekking, Zanzibar beach holidays, cultural tours, day trips, airport transfers and related travel services.

In these Terms and Conditions, “we,” “us,” “our” and “EKO Tanzania Adventures” refer to EKO Tanzania Adventures. “You,” “traveller,” “guest” and “client” refer to the person making the booking and every person included in that booking.

2. Our Services

We arrange private and tailor-made travel services in Tanzania. These may include:

  • Tanzania wildlife safaris
  • Great Migration safaris
  • Mount Kilimanjaro climbing
  • Mount Meru trekking
  • Zanzibar beach holidays
  • Cultural and community-based tours
  • Day trips and excursions
  • Airport transfers and domestic travel arrangements
  • Accommodation, meals, park fees and activities listed in a confirmed itinerary

The exact services included in your trip are those shown in your written quotation, invoice, itinerary and booking confirmation.

Any image, description, map, estimated journey time, wildlife reference or itinerary shown on our website is intended as general information. Conditions can change because of weather, road conditions, park regulations, wildlife movement, accommodation availability, flight schedules and operational requirements.

3. Enquiries, Quotations and Booking Confirmation

An enquiry or quotation request does not create a confirmed booking.

After receiving your travel details, we may send you a proposed itinerary and quotation. Unless otherwise stated, quotations are subject to availability at the time of booking. Lodge rooms, camps, domestic flights, park permits and mountain spaces may not be held until payment or a written confirmation has been received.

A booking is confirmed only when:

  • You accept the written itinerary and quotation;
  • We receive the deposit or payment stated in your quotation or invoice; and
  • We send you written booking confirmation.

Please check your booking confirmation carefully. Notify us immediately if any name, travel date, passport detail, accommodation request or itinerary detail is incorrect.

4. Prices and What Is Included

Prices are based on the services, number of travellers, accommodation standard, travel dates and itinerary stated in your quotation.

Your quotation will clearly show the inclusions and exclusions for your trip. Depending on the package, inclusions may cover:

  • Private safari vehicle and professional driver-guide
  • Accommodation
  • Meals
  • National park, conservation-area and crater fees
  • Mountain guides, porters, cooks and hut or camping fees
  • Airport transfers
  • Domestic flights, where specifically listed
  • Drinking water during safari activities
  • Activities shown in the confirmed itinerary

Unless specifically included, prices normally do not cover:

  • International flights
  • Visa fees
  • Travel or medical insurance
  • Vaccinations or medical consultations
  • Alcoholic drinks and premium beverages
  • Tips for guides, drivers, porters, cooks and lodge staff
  • Personal expenses, laundry and souvenirs
  • Optional activities
  • Additional accommodation caused by missed flights, illness, delay or personal travel changes

5. Price Changes

We make every effort to keep the price stated in your quotation. However, travel costs can change because of factors outside our reasonable control, including:

  • Government taxes, tourism levies or park-fee changes
  • Conservation-area fees
  • Fuel-price changes
  • Domestic-flight price changes or airline schedule changes
  • Currency fluctuations
  • Accommodation or supplier price changes
  • New legal or regulatory requirements

If a significant change is necessary after your booking, we will inform you as soon as reasonably possible and explain the available options.

6. Payments

The payment amount, payment schedule, currency and payment method for your trip will be shown in your quotation or invoice.

A deposit may be required to secure accommodation, permits, domestic flights, mountain crew arrangements or other services. The remaining balance must be paid by the due date stated in your booking confirmation.

Failure to make payment by the agreed due date may result in cancellation of services, release of reserved accommodation or loss of permits. If this happens, cancellation charges from accommodation providers, airlines, parks or other suppliers may apply.

Any bank charges, card-processing charges, payment-platform fees or currency-conversion charges are the responsibility of the traveller unless we state otherwise in writing.

7. Changes Requested by You

If you request a change after your booking is confirmed, we will try to assist. Changes may include travel dates, accommodation, route, number of guests, room type, domestic flights or activities.

Changes are subject to availability and may lead to additional costs, supplier charges, permit changes or revised prices. We will explain any material cost difference before confirming the change.

Certain bookings, such as flights, park permits, peak-season camps and special accommodation offers, may be difficult or impossible to change after confirmation.

8. Cancellations by You

All cancellation requests must be made in writing by email to info@ekotanzaniaadventures.com. A cancellation takes effect only when we acknowledge receipt in writing.

Cancellation charges, refunds and any non-refundable amounts will be handled according to the cancellation terms stated in your confirmed quotation, invoice or booking confirmation. These terms may differ depending on the accommodation, flights, permits, mountain arrangements and suppliers included in your itinerary.

This is important because many travel services are prepaid and may carry supplier cancellation charges. In some cases, park permits, flights, deposits, accommodation payments or special arrangements may be partly or fully non-refundable.

We will make reasonable efforts to recover refundable amounts from suppliers where possible. Any refund is subject to supplier terms, payment-processing costs and the cancellation terms agreed for your confirmed booking.

We strongly recommend comprehensive travel insurance that covers cancellation, curtailment, medical emergencies, evacuation, lost luggage and travel disruption.

9. Changes or Cancellation by EKO Tanzania Adventures

We plan every trip carefully. However, we may need to change or cancel part of an itinerary because of circumstances beyond our reasonable control, including:

  • Severe weather or unsafe road conditions
  • Wildlife, park or conservation-area restrictions
  • Flight cancellation, delay or schedule change
  • Accommodation closure or overbooking
  • Government directives or changes in law
  • Security concerns
  • Illness, accident, natural disaster, strike or other force-majeure event

Where a change is necessary, we will make reasonable efforts to offer a suitable alternative of similar value and standard. Where an alternative has a different cost, we will explain the price difference before finalising the arrangement.

If we cancel a service because of circumstances within our reasonable control and cannot provide a suitable alternative, we will discuss the available refund or credit options for the affected service. We are not responsible for costs arising from services you booked independently, including international flights, visa costs, insurance or accommodation not arranged by us.

10. Travel Documents, Visas and Entry Requirements

You are responsible for ensuring that you hold valid travel documents before departure. This includes:

  • A valid passport with sufficient validity
  • Required visas or entry approvals
  • Proof of onward or return travel where required
  • Vaccination certificates or health documents where required
  • Travel-insurance documentation
  • Any other document required by airlines, immigration authorities or destination regulations

Visa, health and entry requirements can change. We may offer general guidance, but you remain responsible for checking the latest official requirements for your nationality and travel route before departure.

EKO Tanzania Adventures is not responsible for costs, delays, denied boarding, denied entry or missed services caused by invalid, incomplete or missing travel documents.

11. Health, Fitness and Medical Requirements

You must be medically and physically fit for the activities included in your itinerary.

Some activities, including Mount Kilimanjaro climbing, Mount Meru trekking, walking safaris, long hikes, boat excursions and certain wildlife activities, involve physical exertion and may carry additional risks. You should obtain medical advice before travelling if you have a medical condition, are pregnant, take regular medication or are unsure about your fitness for an activity.

Please tell us before booking about any relevant medical condition, mobility requirement, dietary need or disability that could affect your trip. We will try to recommend suitable arrangements, but some activities, trails, camps or vehicles may have practical limitations.

For mountain climbs, your safety is more important than reaching a summit. Our mountain guides may require a traveller to rest, descend or withdraw from an activity if they believe it is unsafe to continue.

12. Travel Insurance

Comprehensive travel insurance is strongly recommended for every traveller. Your policy should be suitable for the activities in your itinerary and should include, where relevant:

  • Medical treatment and emergency evacuation
  • High-altitude trekking cover for Kilimanjaro or Mount Meru
  • Cancellation and curtailment
  • Lost or delayed luggage
  • Flight delay or missed connection
  • Personal liability
  • Emergency repatriation

You are responsible for ensuring that your insurance policy is valid for your nationality, destination, travel dates and planned activities.

13. Wildlife, Outdoor Activities and Travel Risks

Safari travel involves natural and changing environments. Wildlife sightings cannot be guaranteed. Animals move freely, and the presence of a particular animal, migration herd, river crossing, bird species or weather condition cannot be promised.

Guests must follow all instructions from guides, park authorities, camp staff and safety personnel. Do not approach wildlife, feed animals, leave the vehicle in restricted areas or behave in a way that puts yourself, other guests or animals at risk.

You take part in outdoor activities with an understanding that travel in wildlife areas, mountains, rivers and remote places can involve risks, including uneven roads, changing weather, altitude, insects, wildlife encounters, flight changes and limited medical facilities.

We will take reasonable care in planning and operating your trip, but we cannot eliminate all risks associated with adventure travel and natural environments.

14. Guest Conduct

All guests must behave respectfully towards local communities, wildlife, guides, staff, other travellers and accommodation providers.

We may end a person’s participation in a tour, transfer, trek or activity if their behaviour is dangerous, illegal, abusive, disruptive or seriously inconsistent with safety instructions. In this situation, no refund will be due for unused services, and the guest may be responsible for any additional costs caused by their conduct.

Guests are expected to respect Tanzanian laws, park regulations, cultural customs and photography rules. Always ask permission before photographing people, homes, cultural activities or sensitive locations.

15. Accommodation, Transport and Third-Party Suppliers

Some services are provided by third parties, including lodges, camps, airlines, transport providers, activity operators, mountain crews and local guides. We select suppliers carefully, but their services may be subject to their own operating terms, safety rules and availability.

We act as organiser, agent or principal depending on the particular service and arrangements stated in your booking documents. Where third-party suppliers provide services, we are not liable for their acts, omissions, delays or failures beyond our reasonable control. However, we will make reasonable efforts to assist you if an issue occurs during your trip.

Accommodation photographs and descriptions are indicative. Room layout, views, camp facilities, electricity, Wi-Fi, water availability and services can vary by property, season and location.

16. Luggage and Personal Belongings

You are responsible for your personal belongings, travel documents, cameras, valuables and equipment throughout your trip.

For domestic light-aircraft flights and mountain climbs, luggage restrictions may apply. We will provide guidance where possible, but guests must follow the final airline or park requirements.

We are not responsible for loss, theft, damage or delay of personal belongings unless caused directly by our proven negligence.

17. Photography, Reviews and Marketing

We may ask for permission to use photographs, testimonials or reviews that you voluntarily provide to us. We will not use identifiable photographs of you for marketing without an appropriate basis or permission.

If you share a review, photo or testimonial publicly or send it to us for publication, you give us permission to reproduce it for marketing purposes unless you tell us otherwise in writing.

18. Website Use and Intellectual Property

All content on the EKO Tanzania Adventures website, including text, logos, images, design elements, itineraries and branding, is owned by or used with permission by EKO Tanzania Adventures unless otherwise stated.

You may use the website for personal travel research and booking enquiries. You may not copy, reproduce, modify, republish or commercially use website content without prior written permission.

We may update, suspend or change website content, travel information, prices or availability at any time.

19. Privacy and Personal Information

Our collection and use of personal information is explained in our Privacy Policy.

By submitting an enquiry or making a booking, you agree that we may process the information necessary to respond to your request, arrange your travel services and meet our legal and operational obligations.

20. Complaints and Concerns

If you have a concern during your trip, please tell your guide, camp manager or EKO Tanzania Adventures contact as soon as possible. Raising an issue promptly gives us the best opportunity to resolve it.

If the issue is not resolved during travel, please send your complaint in writing to info@ekotanzaniaadventures.com, including your booking reference, travel dates and a clear description of the concern.

We will review the matter and respond within a reasonable period.

21. Limitation of Liability

Nothing in these Terms and Conditions excludes liability where it cannot lawfully be excluded.

To the fullest extent permitted by applicable law, EKO Tanzania Adventures is not liable for indirect loss, loss of enjoyment, missed opportunities, lost profits, emotional distress or additional expense arising from events outside our reasonable control.

Our responsibility is limited to the services confirmed in your booking documents. We are not responsible for independent travel arrangements, international flights, visa decisions, personal health conditions, loss of personal belongings, wildlife behaviour, weather, force-majeure events or acts and omissions of third-party suppliers beyond our reasonable control.

22. Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of the United Republic of Tanzania.

Any dispute arising from or connected with these Terms and Conditions should first be addressed through good-faith communication with EKO Tanzania Adventures. If it cannot be resolved amicably, the matter may be referred to the appropriate courts or lawful dispute-resolution process in Tanzania.

23. Changes to These Terms and Conditions

We may update these Terms and Conditions from time to time. The current version will be published on our website with its effective date.

The Terms and Conditions that apply to your booking are generally those provided or linked to you at the time your booking is confirmed, unless a change is required by law or is agreed with you in writing.
